Manage your events from Gmail

You can view events from Gmail in Google Calendar for:

  • Flights
  • Hotel and restaurant reservations
  • Ticketed events like movies and concerts

To no longer view an event created by Gmail in Calendar, or to change its default visibility, you can change your Calendar settings or delete a single event.

To stop all events created by Gmail in Calendar, in Gmail settings, turn off Smart features and personalization settings.

Important: Events from Gmail aren't available for:

  • Government accounts
  • Google Accounts with data location restrictions
  • Google Accounts that don't have Gmail

See & update events

See event details

When you open your event in Google Calendar on a browser or in the Google Calendar app, you'll see information like the location of your event or your flight confirmation number. You'll also see a link to the email the event was created from.

If you sync your events with an app or computer program other than Google Calendar, you'll still see your events from Gmail, but you won't see some event details.

Updates to your event

After your event is added to your calendar, it will continue to get updated with new information. For example, if you get an email confirmation that you changed the time of your dinner reservation, the time will change in the calendar event too.

Note:Any changes you make will only be visible on your calendar.

Notifications

You'll get notifications for events from Gmail based on your default notification settings. You can change the notification settings for the individual event, or change your default settings. Learn more about notifications.

Flight notifications

By default, you won't get notifications for flight events that were added from Gmail. If you've turned on Google Now, you may get a "Time to leave" notification that will let you know when you need to leave to get to the airport on time.

Create an event from a Gmail message

You can create a calendar event from a Gmail message. The calendar event automatically invites people on the Gmail message, and includes the Gmail message in the calendar event description.

Create a Calendar event from Gmail

  1. On your computer, go to Gmail.
  2. Open the message.
  3. At the top, click More Moreand thenCreate event.
    • Google Calendar creates an event, copying the Gmail message title and text.
    • Google Calendar automatically invites people related to the Gmail message.

      Tip: To invite more people, on the right under "Guests," enter an email address.

  4. You can change the event time, date, and location.
  5. When you're done, click Save.

​Important: Event settings, like guest permissions, aren't transferred over when you create an event from Gmail.

Remove events from Gmail

You can delete a single event from your calendar or turn off events automatically created by Gmail.

Delete a single event

Don't show events created in Gmail

When you turn off the setting to show events from Gmail, all events created by Gmail are hidden from your calendar. If you turn this setting back on, all events created by Gmail are shown again.

  1. Open Google Calendar Calendar.
  2. In the top right, click SettingsSettingsand then  Settings.
  3. Under "Events from Gmail," uncheck the box next to "Show events automatically created by Gmail in my calendar."
  4. At the bottom of the page, click Save.

Tip: To stop Gmail from creating events, in your Gmail settings, turn off Smart features and personalization.

Who can see your events

By default, only you can see events added from Gmail– even if you've shared your calendar with someone else. This includes delegates who have "Make changes AND manage sharing" access to your calendar, and coworkers or peers who can normally see your events. If you share your calendar, you'll see options to change who can see your events from Gmail by default, or a single event.

Note: Anyone who has a device that you're logged into with your Google Account will be able to see your calendar events, including events from Gmail.

Change the default visibility

Important: You'll only see this option if you have shared your calendar with at least one other person.

  1. Open Google Calendar.
  2. In the top right, click Settings Settingsand then Settings.
  3. Next to "Events from Gmail," choose a visibility option. You'll be asked whether to apply the new visibility setting to only new events, or both existing and new events.
  4. At the bottom of the page, clickSave.

Change the visibility for a single event

Important: You'll only see this option if you have shared your calendar with at least one other person.

  1. Open Google Calendar.
  2. Open the event.
  3. Next to "Visibility," choose an option.
  4. Click Save.

Visibility options

  • Private – Only people who you've given access to make changes to your calendar will be able to see the details of your event. Anyone else who can view your calendar but can't make changes will just see the event as "Busy."
  • Calendar default – Anyone who has access to view details for events on your default calendar will be able to see the name and time for your event from Gmail. Only people who can make changes to your events will be able to see other details from your email like confirmation numbers, flight status, or phone numbers.
    Important: If you share your calendar publicly, choosing this option will also make your event from Gmail visible publicly.
  • Public – If you share your calendar publicly, your event will be visible to everyone viewing your calendar. This option is only available for an individual event, not as the default setting.

Troubleshooting

Events from Gmail don't appear in Calendar

There are a few reasons why an event from Gmail may not show up in Calendar.

You didn't receive the email directly

Events won't show up if the email was:

  • Sent to a mailing list
  • Sent to you by cc
  • Redirected from another email account

The confirmation email wasn't from certain types of businesses

Events are only added if they are in confirmation emails from businesses about:

  • Flights
  • Hotels
  • Restaurants
  • Ticketed events like movies and concerts

You've turned off Smart features & personalization in Gmail

To get events from Gmail, you must:

  • In Gmail settings, turn on Smart features and personalization. Learn how to turn on Smart features and personalization in Gmail.
  • In Google Calendar settings, go to "Events from Gmail," and check the box next to "Show events automatically created by Gmail in my calendar."

Report a problem

When to send feedback

  • Event not added from Gmail. Before you report the issue, make sure the email you got was from a business about a flight, hotel, or restaurant reservation, or ticketed event.
  • The event had incorrect or missing information.
  • Event doesn't belong to you. To find out which email the event came from, open the event and selectView Source Email (Google Calendar app) or Open URL (computer).
